Mining Qualifications Authority Invites qualified candidates to apply for the Administrator – Learning Programmes position.

Why the role matters

The Administrator will help the Risk and Compliance team keep the MQA’s quality system running smoothly. This means improving how work is done, checking that processes meet standards, and watching for any risks that could affect the quality of the Authority’s services.


What you’ll be doing every day

Support Learning‑Programme projects

  • Register learner agreements and make sure they are entered correctly.
  • Process grant payments quickly and send the paperwork to Finance for payment.
  • Track how many bursaries are finished and report the numbers.
  • Watch learner enrolments and ensure they follow the rules of each grant.
  • Keep the filing system tidy so anyone can find documents fast.
  • Help the Contracts team with companies that receive grant money.

Manage documents and reports

  • Look after all files linked to learner agreements and grant payments.
  • Update the Learning‑Programmes database and SharePoint with new information.
  • Make sure every record is complete and that supporting papers are easy to locate for reporting.

Build good relationships with stakeholders

  • Answer questions from visitors and any other enquiries about the Learning‑Programmes.
  • Spot what clients need early and suggest ways the MQA can help.

Assist with money matters

  • Work with the Learning‑Programmes Manager to combine financial commitments so projects run without a hitch.

Follow governance rules

  • Help set up internal controls and keep administrative services reliable and transparent.

General office duties

  • Arrange Unit meetings, write up minutes, share them and store them safely.
  • Organise travel and accommodation for officers, managers and senior staff when needed.

What you need to have

Education

  • National Senior Certificate (NSC) or National Certificate: Vocational (NCV) – NQF Level 4.
  • National Diploma in Business Administration, Office Administration, Human Resources Development or a similar field – NQF Level 6 or an equivalent qualification.
  • A Bachelor’s degree (NQF Level 7) in any of the above areas is a strong plus.

Work experience

  • At least 2 years of office administration work.
  • One year of experience in a training or learning environment is preferred.
  • Experience using a Management Information System in a training setting.
  • Familiarity with the SETA (Sector Education and Training Authority) environment is an advantage.

Knowledge you should bring

  • How to work with document‑management systems.
  • Understanding of administration and data‑handling processes.
  • Basic database skills are essential.
  • Knowing something about the mining and mineral sector is helpful.
  • Awareness of education‑training legislation is a bonus.

Key skills

  • Ability to manage small projects from start to finish.
  • Clear written and spoken communication.
  • Good people‑skills for dealing with colleagues and external partners.
  • Strong computer abilities (Word, Excel, PowerPoint, SharePoint).
  • Confidence presenting information and writing reports.
