Job Description

As a Personal Assistant at Assupol, you will provide essential administrative support to the Regional Manager (RM) and the sales team. Your role will ensure that all administrative tasks are handled smoothly, allowing the RM and team to focus on their strategic goals.

Key Responsibilities

  1. Assist Regional Manager with Administrative Functions:
    • Organize meetings for the RM.
    • Manage the RM’s diary.
    • Arrange travel and accommodation.
    • Handle claims requests for the RM and sales team.
    • Assist with budget rationalization.
    • Process budgetary expenditure payment requests.
    • Handle internal and external sponsorship requests.
    • Liaise with staff and clients.
  2. Administrate Correspondence and Documentation:
    • Type and draft documents such as reports and presentations.
    • Manage correspondence for the manager and sales team.
    • Assist with drafting and placing advertisements for the sales force.
    • Manage brokers and reps bridging, advances, and cancellation applications.
    • Prepare meeting documents, including photocopying, writing, and distributing minutes.
    • Manage all incoming and outgoing phone calls.
  3. Administrate Systems and Equipment:
    • Keep the filing system up to date.
    • Maintain electronic backup systems.
    • Manage follow-up systems for deadlines, documentation, and feedback.
    • Keep office and computer equipment inventory up to date.
  4. Assist with External Projects and Public Relations:
    • Organize and manage social events and team-building activities.
    • Order promotional items for regional projects.
    • Manage and control commission deductions for the sales force.
    • Assist head office with HR-related issues for the sales force and staff upon request.
    • Handle enquiries and communication with external organizations.
    • Ensure payment to service providers.
    • Manage and prepare documentation for projects.
    • Attend ad hoc meetings as requested.
    • Manage and control vehicle reports for the region.
    • Assist with managing external franchises.

Formal Education:

  • Matric
  • Diploma in Office Administration or Secretarial/relevant field

Technical/Legal Certification:

  • RE 5 (Advantageous)


  • 2 Years experience as a Personal Assistant.
  • At least 2 Years experience in the Insurance Industry.
