  • Answer phone calls quickly and politely, passing the call to the right person when needed.
  • Keep the customer database up to date, adding new service history as cars are worked on.
  • Enter information into the dealership’s computer system so everyone can see the latest updates.
  • Assist with ordering parts and keeping the inventory tidy.
  • Support the service manager and advisors with any paperwork they need.
  • File work orders, invoices, and customer notes so they are easy to find later.
  • Juggle several admin jobs at once while still keeping everything correct and on time.
  • Talk clearly with both customers and co‑workers to make sure everyone knows what’s happening.
  • Pitch in with any extra tasks that help the service department run smoothly.

What You Need to Have

  • A keen eye for detail when entering data or handling invoices.
  • Strong organisational skills – you’ll be handling many small jobs at once.
  • Ability to decide which task is most important and finish it on time.
  • Comfort working alone or as part of a team.
  • A “customer first” mindset and a desire to give great service.
  • Polite phone etiquette and quick response to enquiries.
  • Clear communication of service details and costs.
  • Good time‑management to keep appointments and paperwork on track.
  • Trustworthiness with customer records and private information.
  • Willingness to work with service advisors, techs, parts staff, and managers.
